The Quick Appointment feature gives users the ability to create a contact, matter and appointment simultaneously. This feature greatly reduces the time needed to create an appointment for a contact when beginning the intake process. The only information that is required to begin the Quick Appointment process is the:
- First and last name of the contact
- The Matter Type
- Matter Status
- Appointment details (Name & Date)
- And email address (only when sending a confirmation email)
The appointment length will default to 30 minutes, but there are a number of other options to choose from (these options are not customizable).
The user will either have the option to create the quick appointment with or without sending a confirmation email. If sending a confirmation email, the contact's email address will be required. Once the quick appointment has been finalized, the contact, matter and appointment will be created simultaneously.
When to Use Quick Appointment
The Quick appointment feature is useful for when you want to be able to create an appointment for a new lead on the fly. Going through the traditional Quick Intake process will require the user to create the matter and contact first and then through a separate process to schedule the appointment. The Quick Appointment feature speeds up the process and removes this second step by combining the two actions into one.
Managing the Appointment
Once the matter and appointment are created you will be able to manage the appointment just like any other appointment. The actions that you can take on the appointment include:
- Editing the appointment details
- Rescheduling the appointment
- Adding the appointment to additional calendars
- Scheduling an automatic reminder email
- Deleting the appointment
