The matter index page is used to display all of your matters in Lexicata. Users can sort and filter the matters to get a curated list of the matters they are looking for. While the pipeline view is the recommended place to manage matter statuses, users can also use this page to adjust a matter's status via the status drop down.
There are several components to the matter index page, which are explained in more detail below:
Name: the name given to the matter, which appears in the format of "Matter Type (Contact Name) - Optional matter label"
Status: used to identify where a matter currently stands or what step of the process is upcoming, viewable on the matter pipeline view. Matter statuses can be customized from your account settings.
Created Date: the date when the matter was first added to Lexicata
Value: the anticipated value or total estimated fees a matter is worth to the firm
You can click on any matter's name from this list in order to view the matter page which has additional information, such as the contacts, workflow items, notes, emails, and files associated with a matter.
Quick Filters: at the top there are buttons to quickly filter between "All," "Intakes" (i.e. matters which have not been marked as "Hired" or "Did Not Hire" yet), and "Hired" matters (i.e. those currently marked as "Hired").
More Advanced Filters: the "Apply Filters" button allows you to filter your matter list by Type, Status, and Assigned User. You can also sort them in different ways such as alphabetically by first or last name, or by created date.
Using the Matter Index
Below is a summary of the main functionality you can do from the matters page:
Sorting & Filtering Matters
The matter index is most effective when you are trying to filter down you matter list to view only a subset of your matters. There are several fields that you can sort/filter your matter list by, including Matter Type, Matter Status, Location, and the Assigned Users.
For example, you could filter your list to show only Bankruptcy matters that have a status of “Consult Scheduled” to find all matters which have an upcoming appointment with the potential client.
To do this, you would click the "Apply Filters" button, and then choose "Bankruptcy" as the matter type and "Consult Scheduled" as the matter status. Only matters which match both of these parameters will be returned in your list.
The matter index page can also be used to update matter statuses. This is especially useful if you want to update multiple matters at once within a short period of time.
For example, if there were 5 matters with a status titled “awaiting reply” and the potential clients had all reached out within a short time period, you could filter your matter list to the “awaiting reply” status and move them all to the next status by changing the dropdown menus, without having to go into the individual matter pages. We still generally recommend using the pipeline for this purpose, but it's nice to have the option.
Finally, the matter index page is also where you can export your entire matter list to a CSV file (i.e. a spreadsheet). You can do this by clicking the "Export to CSV" link at the bottom left of the page. Only the current filtered list of matters will be exported, which is useful to do advanced reporting in Excel if necessary.
