The contact index page is used to display all the contacts in your Lexicata account. It is also very useful for filtering your contact list into segments if you would like to view a certain subsection of your contact list.
There are several components to the contact index page, which are explained in more detail below:
The main feature of the contacts page is the list of all contacts in your account. This list will contain the primary data about each contact, as explained below:
Name: the full name of the person or company.
Type: typically used to define the relationship between a contact and your firm (e.g. Lead, Client, Lawyer, Referral Partner, Opposing Party, etc.). Contact types can be customized from your account settings.
Source: used to define how a client or potential client found your firm (e.g. Referral, Social Media, Avvo, Website, etc.). The source should typically be left as "Unassigned" for any contacts who are not clients or potential clients. Lead sources can be customized from your account settings.
Tags: used as labels or keywords which can be used to further classify your contacts or organize them into lists. Tags can be customized from your account settings.
Created Date: the date when the contact was first entered into Lexicata
You can click on any contact's name from this list in order to visit their full contact page, which has additional information such as their email addresses, phone numbers, addresses, custom fields, notes, and more.
Quick Filters: at the top there are buttons to quickly filter between "All" contacts, just potential clients (i.e. those with the type of "Lead"), and just those marked as "Client."
More Advanced Filters: the "Apply Filters" button allows you to filter your contact list by Type, Source, and Tags. You can also sort them in different ways such as alphabetically by first or last name, or by created date.
Using the Contact Index
Below is a summary of the main functionality you can do from the contacts page:
Adding New Contacts
You can click the "Add New Contact" button in order to add additional contacts to your account.
Sorting & Filtering Contacts
The contact index is very useful when you are trying to filter down your contact list to view only a subset of your contacts. There are several fields that you can sort/filter your contact list by, including Type, Source, Tags, and whether they are a Person or Company contact.
For example, you could filter your list to show only potential clients who are on your newsletter by using a combination of Lead Source and Tags.
To do this, you would click the "Apply Filters" button, and then choose "Lead" as the contact type and select "Newsletter" in the tags field. Only contacts which match both of those parameters will be returned in your list.
The contact index page also allows you to update the contact’s Type and Source while in the index view. This is useful when trying to bulk update multiple contacts’ Sources or Types because you do not have to navigate to each individual contact's page in order to make the change.
The contact index page is also where you can export your entire contact list to a CSV file (i.e. a spreadsheet). You can do this by clicking the "Export to CSV" link at the bottom left of the page. Only the current filtered list of contacts will be exported.
