Overview
The Lexicata Agenda page is where you can get an overview of any pending or past due items in your Lexicata account. The Agenda is broken down into four sections describing different time frames:
- Today: this will display items that are due or scheduled for the current day.
- Upcoming: this will display items that are due or scheduled for any day in the future, but not today.
- Past Due: this will display items that were due in the past, and have not yet been completed.
- No Due Date: this will display items that were created but never assigned a due date.
Items will move from one section to another automatically based on the current date. So they may begin in the Upcoming Agenda, then move to Today’s Agenda, and finally go to the Past Due Agenda if they have still not been completed when the due date passes.
You can navigate between these timeframes to quickly get an overview of what needs to be done today, what needs to be followed up on from the past, and what events and activities are upcoming in the near future.
What Goes in the Agenda
There are five types of items that will appear in your agenda. They will be added automatically when they are created. Each one is covered in more detail below:
Appointments
Anytime you schedule an appointment in Lexicata, an agenda item will be created for that appointment.
Assuming it was scheduled for some day in the future, it will go into your Upcoming Agenda.
When the appointment date matches the current day, it will move into Today’s Agenda automatically.
Once the appointment date passes, it will be automatically removed from the agenda.

Tasks
Whenever you create a task related to a contact or matter, the task will automatically be added to your agenda.
If the task is due on the current day or does not have a due date, it will appear on Today’s Agenda.
If the task is due in the future, it will appear on the Upcoming Agenda.
If the due date passes and the task has not been marked as complete, it will be on the Past Due Agenda.
Once the task is completed, it will be automatically removed from the agenda.

Scheduled Emails
Any emails that are scheduled to be sent out in the future via the matter workflow will be added to your agenda automatically.
If the email is scheduled to be sent out some day in the future, it will appear on the Upcoming Agenda.
If the email is scheduled to be sent today, it will appear on Today’s Agenda.
Once the email is sent, or if it is canceled, it will automatically be removed from the agenda.

Pending Forms with Due Dates
You have the option to set a due date when sending a form to be filled. This due date is not required, but it will help you track the status of this form by adding it to your agenda.
If the due date is some day in the future, the form will appear in your Upcoming Agenda.
If the due date is today, it will show up on Today’s Agenda.
If the due date passes and the form is still not submitted, the form will show up on your Past Due Agenda.
Once a form is filled out or the form is deleted, the document will be automatically removed from the Agenda.

Pending Documents with Due Dates
You can optionally set a due date when sending out a document to have someone e-sign. This due date is not required, but it will help you track the status of this document by adding it to your agenda.
If the due date is some day in the future, the document will appear in your Upcoming Agenda.
If the due date is today, it will show up on Today’s Agenda.
If the due date goes by and the document is still not signed, the form will show up in your Past Due Agenda.
Once a document is signed or the document is deleted, the document will be automatically removed from the Agenda.

Filtering the Agenda
In order to check in on other users and delegate work, Lexicata provides the ability to filter the Agenda by the type of item and/or by the assigned user(s).
By default, the agenda will be filtered to show all types of items that are assigned to the current user. In order to change this, simply use the “Apply Filters” menu and select which type(s) of items you want to view and which user(s) are assigned to them.
The agenda will update automatically to show only the list of results matching your filter settings.
Keep in mind that for appointments, forms, and documents, the user filter setting will apply to the corresponding matter, not the item itself. For example, if you filter the appointments to show the ones assigned to yourself, it will display all appointments from the matters you are assigned to, regardless of whether they were scheduled on your calendar or not.
Managing Agenda Items
The agenda view is really only intended to help you identify upcoming events or activities, or items that will need your attention in the future.
In order to actually manage the items in your agenda, such as editing them, deleting them, marking them complete, or following up, you will want to navigate to the corresponding matter or contact page.
You can click the “Options” button on a specific item then click the “View” link to go directly to the corresponding matter or contact. From there you can edit, delete, or complete the agenda item.
Just keep in mind that making any changes to these items may actually remove them from your agenda altogether, or change the time frame where they show up.
