Users can connect their email account with Lexicata which creates a sync between Lexicata and the user’s email server. Syncing your email with your Lexicata account means that all emails that are sent through Lexicata are sent through your email server instead of ours. The emails will appear in your sent folder in your email account and replies to the email will appear in your inbox; emails sent via Lexicata when synced are sent just the same as any other normal email you send in your normal daily activities. Syncing your email will also allow users to sync their email based calendars with Lexicata. The email that is synced must be the same email that the user uses to log into their Lexicata.
Syncing your email is a very easy process. Go to your email settings page and click the sync button, enter your credentials and that's it. Emails will now be sent directly from your email account when initiated in Lexicata.
Syncing your email with Lexicata is not mandatory, but recommended. If you choose not to sync your email you can still send out email through Lexicata, however they will be sent through our email service called MailGun. When contacts receive emails from a not synced account the “from” field with still say your name but the email address will display as “email@example.com via notifications.lexicata.com”. In essence, if your client investigates, they will be able to know that you sent the email through our software.
MailGun also acts as a backup service for when your email sync connection fails or disconnects. If for any reason, should your sync not work, the email will still get sent out via Mailgun and will be delivered to the contact. To reconnect your email, simply follow the same directions for originally syncing your email.
Common Issues With Email Syncing
Email Sync Error: If you sent out an email and receive an automatic email notice stating that the message was unable to be sent from your email but was successfully delivered via MailGun, this is a sign that your email is no longer synced. Two-factor Authentication: If you have a two-factor authentication required for your email account then you will need to input an "app password" in place of your regular email password. App passwords are generated in your Email client.
POP3: We do not support the syncing of Lexicata to POP3 email accounts. POP3 is by definition an email protocol that does not support the sharing of email across different servers and devices. If you would like to sync your email account with Lexicata it must have IMAP settings enabled.
